Extensiv Warehouse Management

How to add an Extensiv Warehouse Management (formerly Scout topShelf) account to ShipStation, what features are available, and other need-to-know details.

Extensiv Warehouse Management offers two ways to integrate with ShipStation:

Shipping Integration

This is the original Extensiv Warehouse Management/ShipStation integration, where Extensiv is set up as a Store in ShipStation. Orders import from the original selling channel into Extensiv, then ShipStation imports those orders from Extensiv. When you ship an order, ShipStation updates Extensiv with shipment information and Extensiv then updates the order.

Here are the main features of the Shipping integration:

  • Orders originate in Extensiv and are only sent to ShipStation once the order has been picked in Extensiv.

  • Tracking information is sent back to Extensiv once the order has shipped within ShipStation.

Pick Pack Integration

This is a more recent integration that was developed by Extensiv. In this integration, you do not create a Store for Extensiv in ShipStation. Instead, you connect your selling channels to ShipStation so ShipStation will import the orders from the selling channel directly. When you ship an order, ShipStation updates the sales channel directly.

Extensiv is connected to ShipStation using our Open API, which allows them to pull order information from ShipStation. This lets them track the stock levels and ship from locations for your orders as you manage them through ShipStation.

Here are the main features of this Pick Pack integration:

  • Orders originate in ShipStation and are then populated into Extensiv.

  • Extensiv will update the Custom Field #3 field in ShipStation to indicate the Pick/Pack status of the order.

  • Multi Warehouse compatibility. If an order in ShipStation is set to be fulfilled from a specific Warehouse location, that information passes into Extensiv.

Extensiv Warehouse Management Requirements

Connection Requirements:

  • An active Enterprise or Unleashed Extensiv Warehouse Management subscription plan. 

    • Enterprise can only connect to ShipStation using the Pick Pack Method.

    • Unleashed can connect to ShipStation using either the Pick Pack Method or Shipping Method.

  • Your Extensiv Warehouse Management Username and Password.

Order Import Requirements:

  • Include a Ship To address.

  • Order address must include State and Zip code.

  • Be picked in Extensiv Warehouse Management.

Connect an Extensiv Warehouse Management account to ShipStation

To connect your Extensiv account to ShipStation:

The steps below explain how to connect Extensiv to ShipStation using their Shipping integration methods.

  1. Select the Extensiv tile.

    Extensiv's logo. Button that reads, Connect
  2. Enter your Extensiv UserName and Password.

After you've completed the connection steps, your store will be connected to ShipStation. You'll be taken to the store's Settings page to adjust the store-specific settings like branding, notification preferences, and product handling.

Available Features for Extensiv Integration

The ShipStation integration with Extensiv supports the following standard features:

These features are available if you're using the Shipping integration method for Extensiv.

If a store allows custom statuses, this means you define that statuses your orders use in your selling channel. In most cases, if you have custom statuses you'll need to define which ShipStation statuses each custom order status corresponds to.

ShipStation will import the customer's email address with the order data and can send shipment confirmation and delivery emails to that email address (configured in your Store settings).

ShipStation will import the customer phone number with the order data.

ShipStation will import the shipping method chosen by the customer during their store checkout.

ShipStation will import the payment method used to pay for the order.

ShipStation will import discount and coupon information for the order.

ShipStation can determine if an order is a gift from the order data sent by the store.

ShipStation will import internal notes or order activity from the store into the ShipStation Internal Notes field.

ShipStation will import notes provided by the customer when they made their purchase.

ShipStation will import the total order weight from the store.

ShipStation will import the weight for each line item in the order.

ShipStation will import an image URL for each line item in the order. These images will appear as thumbnails in your Order Details and can be included in email notifications and packing slips.

ShipStation will import item options (such as color or size) for each line item in the order. This data will appear in your Order Details and can be included in customer emails and packing slips.

ShipStation will import a product stock location for each line item in the order.

The shipment update ShipStation sends to the selling channel will include any Notes to Buyer set on the order in ShipStation.
